Starting an Explanation Resolution

  1. While working an invoice on the Invoice Detail screen (see Working Invoice Queues), click the Resolve link.

    4786_note When the Resolve link is red, this indicates an existing resolution item is already open and must be completed before a new resolution item can be started.

    The Resolution window appears.

  2. Click Add New.

    The Resolution Add window appears.

  3. From the Action drop-down list, select Explanation.
  4. Select an explanation reason from the Reason drop-down list.
  5. In the Comments field, type a message as necessary and click Add.

    The Resolution window reappears and displays your resolution comments.

    4786_note If an Explanation Resolution is configured for your Company to Generate eMessages, InvoicingSM will automatically send an eMessage to the Vendor notifying them of the resolution deadline.

    If additional comments need to be added to the resolution, click the R button and add the message.

  6. To return to the Invoice Detail screen, click Close. After the vendor responds to your explanation resolution, your next task involves one of the following options:

4786_note If your company administrator has enabled the Auto Deny option, the explanation resolution will be denied automatically if the vendor has not responded within the set number of days.
