Configuration Changes

An InvoicingSM configuration change is defined as an update or addition to line item, check request business rule, or guideline options. These configuration changes require the assistance of ICE, and clients must submit a Configuration Change Request form.

Only authorized users who have the proper security can access the Configuration Change Request form. Contact your company management for questions about access to this form.

Turnaround time depends on the complexity of the request.

If the template you create contains more than 1,000 records, you must attach another template for the additional records.

Before you submit a request, review the following configuration change considerations and carefully consider the impact of the configuration change. If you remain uncertain about how the potential change might impact InvoicingSM functionality, consult the configuration team at IM_Config_Mgmt@bkfs.com.

For line item configuration changes, consider:

Vendor Import users who upload invoices in bulk: If line item changes are not properly broadcast, vendors will not know what line items are available for upload causing errors in the import.
Whether changes are needed for all vendors, invoice types, or only a portion of vendors: Changes may impact vendors that the line item change should not apply when the intent is to have the change applied to only a portion of vendors or only a portion of the vendors will have a change in line items when the intent is to have the change applied to all vendors. Changes may impact all invoice types when the intent is only to have the line item change applied to certain invoice types or only some invoice types will reflect the line item change when the intent is to have the change applied to all invoice types.
Whether the services that vendors currently submit on invoices are represented when line items are removed: The line item for the services that the vendor currently renders may not be available for submission.
Departments that have multiple invoice types tied to the same line item when line items are added or removed: Line items added or removed may be added or removed from an invoice type within the same department that you do not want added or removed.

For guideline configuration changes, consider:

New exceptions that return as a result of changes to servicer guidelines: The changes made may force new exceptions to flag on invoices for over the allowable not previously in place. Invoices flagged with exceptions will not pay through any Auto Approve business rules which forces manual review.
Whether servicer guidelines should be set to override any investor guidelines or should they be set to catch all: Review all investor guidelines in place before setting up servicer amounts to avoid setting guideline for excessive amounts: If there is an investor guideline in place and you select to have the servicer guideline override it, the servicer guideline amount listed may be more than the investor, resulting in the vendor being paid more than the investor will reimburse.

For check request business rules configuration changes, consider mapping to the servicing platform. Include default mapping in case a line item does not have mapping within the rule. Ensure that rules do not conflict or have duplicate mapping within the rules. Incorrect mapping provided for Check Request Business Rules can cause invoices to fail to pay. Some mapping errors will cause not only the specific invoices with incorrect mapping to fail, but particular errors can cause the entire day’s file to fail to pay.
